Seating Arrangements Made Simple: A Stress-Free Guide

Creating your wedding seating chart might feel like trying to solve a giant puzzle, but it doesn’t have to be a headache. With a little strategy (and maybe a glass of wine), you can make sure your guests are comfortable, your tables flow smoothly, and your reception vibes stay on point. Let’s break it down into simple steps so you can tackle your seating plan with ease!

1. Start with a Floor Plan

Before diving into who sits where, grab a copy of your venue’s floor plan. Knowing how the tables will be arranged, where the dance floor is, and where key spots like the bar and cake table are located will make the process much smoother.

Pro Tip: Ask your venue about different table styles, like round, rectangular, or banquet-style tables, to see what works best for your guest count and overall vibe.

2. Lock in the Guest List First

Before you start moving names around, make sure you have all your RSVPs in. You don’t want to spend time perfectly placing guests only to have last-minute changes throw everything off.

Breaking your guest list into categories—family, friends, coworkers, and so on—can help you see natural groupings and avoid any awkward pairings.

3. Decide on Assigned Tables vs. Assigned Seats

There are two ways to do this:

  • Assigned Tables: Guests have a designated table but can choose their own seat. This is great if you want to provide structure but still keep things flexible.

  • Assigned Seats: Every guest has a specific chair. This is ideal for formal or intimate weddings, or if you want to avoid any "seat-saving" drama.

If you’re leaning toward a relaxed reception, you can also go with open seating, but reserving a few tables for family and VIPs is always a good idea.

4. Be Mindful of Family Dynamics

Family seating can be tricky, especially if there are divorced parents, remarried relatives, or anyone who just does not get along. Here’s how to handle it:

  • Divorced Parents: If they’re on good terms, they can sit at the same table. If not, give them separate tables near the head table.

  • Blended Families: Make sure each side feels included and respected. A quick heads-up to them beforehand can go a long way.

  • Elderly Guests: Keep them away from speakers and high-traffic areas so they can enjoy the night comfortably.

At the end of the day, seat people where you feel best. It’s your wedding, and everyone is there to celebrate you!

5. Keep Guest Comfort in Mind

A great seating plan can actually make the night more fun for your guests. Here are a few things to think about:

  • Keep friend groups together so they have a great time catching up.

  • Mix singles and couples naturally so no one feels like they’re at a "singles table."

  • Consider personalities when pairing guests. Some people love to chat, while others would rather not be stuck next to your super talkative cousin.

6. Use Digital Tools to Make It Easier

Gone are the days of sticky notes and last-minute scribbles. Digital tools make it easy to create, edit, and adjust your seating plan without the stress. Here are some great options:

  • WeddingWire.ca – Their free Seating Chart Tool lets you create custom floor plans, assign guests to tables, and sync everything with your guest list. You can also print or share your seating chart with vendors.

  • Canva – If you want something stylish and customizable, Canva has beautiful wedding seating chart templates. You can easily drag and drop elements to match your wedding theme.

  • Prismm – This tool is great for couples and planners who want a more advanced seating chart system. It offers 2D and 3D floor plans and allows for easy collaboration.

  • Zola – Zola’s all-in-one wedding planning app includes a seating chart tool that syncs with your guest list, making it easy to organize everything in one place.

These tools help you move guests around with a simple click, saving time and making last-minute changes a breeze!

7. Choose Between a Head Table or Sweetheart Table

Your seating chart also depends on where you want to sit.

  • Head Table: Perfect if you want to be surrounded by your wedding party and their significant others.

  • Sweetheart Table: A cozy option that gives you and your partner a little time to soak in the moment together.

There’s no wrong choice—just pick what feels right for you!

8. Make It Easy for Guests to Find Their Seats

The smoother this process is, the quicker guests can grab a drink and start celebrating!

  • Seating Chart Display: A large sign with names and table assignments is a stylish and easy option.

  • Escort Cards: Traditional but effective, especially if you’re assigning specific seats.

Make sure your seating chart is easy to read and placed near the entrance so guests can find their tables without a hassle.

9. Expect Last-Minute Changes

Even with the best planning, something will change. A guest may cancel at the last minute, or someone might bring an unexpected plus-one. The best way to handle this? Leave a little wiggle room!

Tip: Have a couple of open seats at strategically placed tables to accommodate any surprises.

10. Don’t Overthink It

Yes, your seating chart is important, but it’s not the most memorable part of the day. Your guests will be too busy having fun to stress about where they sat. Focus on making the night enjoyable, and everything will come together.

Final Thoughts

Seating arrangements might seem like a challenge, but with a solid plan and the right tools, it can be totally stress-free. Take your time, use digital tools to simplify the process, and don’t be afraid to ask for help when needed.

And remember, you don’t have to do it alone! As wedding planners, we help couples like you create seamless seating plans that keep guests happy and your reception flowing perfectly. If you need expert guidance, we’re here to make the process smooth, stress-free, and even a little fun.

So grab a coffee (or a cocktail), set aside a little time, and let’s get your perfect seating plan in place!

Wedding Planner vs. Day-of Coordinator: Why Partial Planning Might Be the Best Fit for Your Edmonton Wedding

Planning a wedding is an exciting adventure, but it can quickly become overwhelming with all the details to juggle. While some couples want full-service support from a wedding planner, others prefer to take the reins and bring in a professional just for the final stretch with a month-of coordinator. But what if you need something in between?

At Blush & Bordeaux, we’re proud to offer a solution that combines the best of both worlds: Partial Planning. Whether you’re envisioning a classic ceremony in downtown Edmonton or a rustic celebration in the countryside, our Scarlet package ensures you handle the fun parts of wedding planning while we take care of the hard parts.

Let’s explore how partial planning bridges the gap between a traditional wedding planner and a month-of coordinator, and why it might be perfect for your Edmonton wedding.

Wedding Planning Options: The Basics

Before diving into why partial planning is the ideal middle ground, let’s quickly recap the two most common services:

Wedding Planners: Full-Service Experts

Wedding planners are involved from start to finish. They help with every detail, from creating a budget to finalizing your wedding theme, finding vendors, and coordinating logistics. While this service is perfect for couples who want a hands-off approach, it may feel like too much if you want to stay actively involved in planning.

Month-of Coordinators: Short-Term Support

Month-of coordinators step in 4–6 weeks before your wedding to handle last-minute details, finalize timelines, and ensure everything runs smoothly on the big day. This service is great for DIY couples but doesn’t provide much help during the earlier planning stages.

Introducing Partial Planning: The Best of Both Worlds

Partial planning is designed for couples who want to enjoy the planning process but need professional assistance with the trickiest parts. Our Scarlet package at Blush & Bordeaux is tailored to provide just the right amount of support, so you can relax knowing the challenging tasks are in expert hands.

What Does Partial Planning Include?

  1. Vendor Recommendations & Booking

    • Struggling to find the perfect photographer or florist in the Edmonton wedding planning scene? We’ll connect you with trusted vendors that fit your style, budget, and vision.

  2. Customized Planning Tools

    • Stay organized with access to personalized checklists, timelines, and budget trackers designed to keep you on track.

  3. Timeline Creation

    • We’ll build a detailed timeline for your wedding day and coordinate it with your vendors, ensuring every moment flows seamlessly.

  4. Logistical Problem-Solving

    • Need help with contracts, venue layouts, or seating charts? We’ll handle these complex details so you don’t have to.

  5. Day-of Coordination

    • When the big day arrives, we’ll step in to manage the schedule, troubleshoot issues, and ensure everything runs smoothly, so you can focus on celebrating.

Why Choose Partial Planning?

Partial planning offers several unique benefits that make it the perfect compromise for many couples:

  • Flexibility: You stay in control of the parts of planning you enjoy (like choosing decor or DIY projects) while delegating the hard parts to us.

  • Stress Reduction: By tackling the most time-consuming and stressful tasks, we free up your energy for the fun stuff.

  • Local Expertise: With years of experience in Edmonton wedding planning, we’ll connect you with the best venues and vendors the city has to offer.

  • Budget-Friendly: Partial planning is a cost-effective alternative to full-service planning, providing professional guidance without the higher price tag.

Who Is Partial Planning Best For?

  • Couples Who Have a Vision: If you know what you want but need help making it happen, partial planning is ideal.

  • DIY Enthusiasts: Love crafting invitations or creating decor? You handle the creative elements while we take care of logistics.

  • Busy Professionals: Strapped for time? Let us handle vendor communication and scheduling while you focus on your day-to-day responsibilities.

Blush & Bordeaux’s Scarlet Package: Your Edmonton Wedding Made Easy

Our Scarlet package is tailored to meet the needs of modern couples who want just the right amount of professional support. From recommending Edmonton wedding vendors to creating a foolproof timeline, we specialize in handling the tough parts of wedding planning so you can enjoy the journey.

Conclusion: Partial Planning = Wedding Bliss

When it comes to planning your dream wedding, you don’t have to choose between a wedding planner and a month-of coordinator. With partial planning, you get the perfect blend of professional expertise and personal involvement.

I’m engaged, now what?

3 Things Engaged Couples Should Do First

Congratulations on your engagement! This is such an exciting milestone in your journey together. Now that you’ve said “yes,” you might be wondering, “Where do we even begin?” Don’t worry—we’re here to guide you. Here are the top three things every couple should do right after getting engaged to set the stage for an incredible wedding day.

1. Talk About the Big Picture

Before diving into details, take some time to sit down with your partner and have an honest conversation about the big decisions. Here are the key points to cover:

  • Decision Makers: Who’s making the calls? Are you two making all the decisions, or will family be involved? Getting clear on this early will save you from future headaches.

  • Your Budget: Yep, the money talk. Figure out how much you want to spend and whether anyone is pitching in. This will help guide everything, from your guest list to the vendors you choose.

  • Top Priorities: What’s most important to you? Maybe it’s having an epic dance floor, a cozy ceremony, or a killer dinner menu. Lock down your “must-haves” now, so they stay top of mind as you plan.

Pro Tip: Don’t try to do everything in one conversation! This is just about getting on the same page as a team.

2. Book a Wedding Planner

Planning a wedding is a lot. That’s why hiring a wedding planner is hands-down one of the best things you can do for yourself. Not only will you save time and stress, but you’ll also have someone in your corner to guide you through every step. Having a wedding planner is one of the best ways to make the planning process fun and stress-free. Your wedding day only happens once, so why not have someone by your side to make sure it’s seamless?

At Blush & Bordeaux Events, based right here in Edmonton, we work with couples to bring their dream weddings to life. Whether you’re just starting to plan or need day-of coordination, we’re here to make your wedding journey as smooth as possible.

Here’s what we can help with:

  • Breaking down the planning process into manageable steps

  • Connecting you with Edmonton’s top vendors and venues

  • Keeping you on track with timelines, budgets, and priorities

  • Coordinating every detail on your big day so you can soak in every moment

With a planner in your corner, you’ll have more time to enjoy being engaged and less time stressing over logistics.

3. Check In With Your VIPs

Weddings are all about celebrating with your favorite people, so figure out who your VIPs are—those people you absolutely can’t imagine saying “I do” without.

Once you know who they are, check in with them about your potential wedding date and location. Making sure your inner circle can be there will give you peace of mind and helps you feel confident that the people you love most will be there to celebrate with you, making your day even more special.

Enjoy Being Engaged

Before wedding planning really ramps up, take a moment to enjoy this season. Being engaged is such a beautiful time, and it goes by quickly!

When you’re ready to start planning, we’d love to help you create a wedding day that’s as unique and special as your love story. Let’s make your dream wedding a reality!

An Enchanted Forest Wedding: Magical Day at The Valley Weddings

All photo credits goes to Olea Janes Photography

On September 27, 2024, Camille and Francis celebrated their love surrounded by the enchanting forest at The Valley Weddings in Westerose, Alberta. This stunning outdoor venue provided a romantic and natural backdrop for their special day, filled with emotional moments, unique touches, and joy shared with family and friends.

A Private Moment: Reading Vows Before the Ceremony

Before the ceremony, Camille and Francis shared a private first look in a secluded area of the venue. This intimate moment allowed them to connect deeply as they read their vows to each other, away from the crowd. The expressions on their faces were a testament to their profound love and commitment, capturing a truly beautiful and private memory. The handwritten vows, carefully stored in leather-bound journals, were filled with promises that would define their journey together.

A Heartfelt Ceremony Surrounded by Nature

As they gathered under a rustic wooden arch adorned with soft drapery and oversized blooms, Camille and Francis exchanged rings and formalized the promises they’d made to each other just moments before. The serene beauty of the forest and the gentle natural light made for a magical ceremony setting, where their love took center stage.

Camille’s Elegant Bridal Look

Camille looked radiant in a classic off-the-shoulder gown that exuded grace and elegance. Her bridal accessories included pearl-studded shoes and delicate jewelry, adding just the right touch of sophistication. Later in the evening, she changed into a playful, feathered party dress that allowed her to dance freely and celebrate with her guests. Her bridesmaids, dressed in complementary shades of blush, added harmony and elegance to the wedding party’s look.

Thoughtful Details and Personalized Touches

Every detail of Camille and Francis's wedding reflected their personalities and shared story. A decorative mirror welcomed guests with a "Once upon a time..." message, setting a fairytale tone from the moment they arrived. The reception tables were adorned with vintage-inspired glassware, blush-toned candles, and lush florals, creating a cozy, enchanted forest atmosphere inside the glass-walled pavilion, which allowed guests to enjoy the beauty of the outdoors from the comfort of the venue.

A Unique Late-Night Ramen Bar

Camille and Francis delighted their guests with a late-night ramen bar—a nod to their shared love for noodles. The sign reading “We Love Us Some Noods” added a playful touch, making it a memorable moment as guests enjoyed warm ramen to keep the celebration going. This personal touch gave everyone an extra taste of joy, warmth, and fun as the evening unfolded.

A Reception Filled with Celebration and Emotion

The reception was held in a stunning pavilion adorned with twinkling lights, where Camille and Francis shared heartfelt toasts with their loved ones. The night was filled with dancing, laughter, and moments of joy, as Camille and Francis celebrated surrounded by the love and support of family and friends. The couple's dance floor was alive with energy, glow sticks, and cheers from their guests, adding a modern and fun twist to the evening.

An Emotional Day to Remember

Their wedding day was filled with tears of joy and moments of heartfelt connection. The emotional highlights, from the private vow reading to Camille’s tearful embrace with loved ones, truly captured the essence of their love story. Rustic Elegance: Whitewood barn Wedding Day

Rustic Elegance: Whitewood Barn Wedding

Sheri Colautti Photography

At Blush & Bordeaux Events, we specialize in creating unforgettable weddings that reflect each couple’s unique love story. Recently, we had the pleasure of coordinating a wedding that perfectly blended rustic charm with elegant details. From the florals to the décor, every element was thoughtfully curated to create a day that was as beautiful as it was meaningful.

The day began with Cassidy and her bridesmaids preparing for the festivities, dressed in matching satin robes and brimming with excitement. A joyful photo captured the lighthearted spirit of the morning, as the bridal party posed playfully on a lush green lawn. This moment set the tone for a day filled with love, laughter, and cherished memories.

Sheri Colautti Photography

As Cassidy prepared, Brad took a moment to reflect on the day ahead. The groom and his groomsmen made a memorable entrance, walking together as if they were heading to a big game. The energy and camaraderie among them set a fun, spirited tone for the day. With their suits slung over their shoulders and a confident stride, they brought a light-hearted, game-day vibe that contrasted beautifully with the day's elegance.

A carefully arranged display of his essentials—rich brown leather shoes, a sleek ivory tie, and a classic bottle of Dior Sauvage—set against a backdrop of stacked wood, spoke to his refined taste and the wedding’s rustic theme. This simple yet elegant arrangement was a testament to the groom’s attention to detail.

A Dress to Remember

Sheri Colautti Photography; Dress from Pure Bridal

Before the ceremony, the bride’s dress hung gracefully from a tree, illuminated by soft, natural light filtering through the leaves. The intricate lace details and flowing layers of the gown were showcased beautifully against the natural backdrop, making it a centerpiece even before it was worn. This image captured the anticipation and beauty of the day ahead.

Sheri Colautti Photography

First Looks: Moments Filled with Emotion

The bride shared touching first-look moments with her brothers and her father, each one filled with emotion and love. The reactions of her family members were priceless, from the joy in her brothers' eyes to the tears in her father's. These intimate moments provided a beautiful contrast to the day’s grander celebrations, highlighting the deep familial bonds that made this wedding so special.

Personalization was a key theme throughout the day, and this was beautifully showcased in the seating plan. The seating chart, adorned with lush floral arrangements that mirrored the bouquet’s color palette, was titled "Our Favourite People." This heartfelt touch welcomed guests with warmth and elegance, making them feel truly special. The delicate blend of flowers and greenery added a soft, natural accent, making the seating plan both functional and decorative.

Sheri Colautti Photography

Signature Cocktails and a Welcoming Atmosphere

No wedding is complete without a personalized touch at the bar, and this wedding was no exception. A charming sign displayed "The Prockners’ Signature Cocktails," with each drink named after the couple’s beloved pets. The playful illustrations of the pets added a unique and heartwarming touch, making the cocktail hour all the more special for the couple and their guests.

Sheri Colautti Photography

As guests arrived at the ceremony, they were greeted by a delightful welcome sign reflecting the joy and warmth of the day. The sign was a beautiful mirrored piece, featuring a heartfelt message, "Welcome, we’re so glad you’re here!" This small yet significant detail made guests feel instantly welcomed and set the tone for the ceremony.

A Stunning Ceremony Space

The outdoor ceremony took place under a rustic wooden arbor draped with soft, flowing fabric. The natural surroundings, enhanced by delicate floral arrangements, created an enchanting setting where the couple exchanged vows. The simple elegance of the decor allowed the beauty of the moment to shine through, providing a serene and intimate atmosphere.

As the couple walked back down the aisle as newlyweds, their faces were filled with joy and love, surrounded by the beauty of the day and the cheers of their loved ones. This candid moment was a true reflection of the happiness and excitement that permeated the entire celebration.

Sheri Colautti Photography; Whitewood Barn Venue

A Reception Filled with Love and Memories

As guests entered the reception space, they were greeted by tables set with care and elegance. Each table featured rustic wooden chairs and a dark wood table adorned with simple greenery, white napkins, and delicate glassware. The clean and polished look, combined with the natural elements, created a cozy yet refined atmosphere perfect for a memorable dining experience.

A particularly touching element of the reception was the memorial display, honoring loved ones who had passed. A white, rustic hutch, adorned with greenery and soft floral arrangements, showcased framed photos of those who were dearly missed. A candle burned in their memory, with a sign that read, "This candle burns in loving memory of those who are forever in our hearts, today & always." This display offered a heartfelt way to remember and honor those who couldn’t be there in person.

Sheri Colautti Photography; Whitewood Barn Venue

A Magical Evening

The reception hall, with its high, arched ceilings and warm lighting, provided the perfect setting for the evening’s festivities. The newlyweds made a grand entrance, hand in hand, greeted by the cheers and waving napkins of their guests. The spacious venue, filled with love and light, was a testament to the joy that filled the air.

One of the most romantic moments of the evening was the couple’s first dance. Under the soft glow of chandeliers and string lights, they shared a dance that seemed to transport them—and their guests—to a dreamy, fairy-tale world. The reflection of the twinkling lights in the mirrors behind them added depth and magic to the scene, making this moment truly unforgettable.

The head table was a sight to behold, beautifully adorned with greenery and soft lighting. The bride and groom, surrounded by their closest friends and family, shared laughter and meaningful conversations, all while enjoying the stunning atmosphere that had been created for them. The mirrored backdrop behind the table added an element of grandeur and elegance, reflecting the lights and decor in a way that made the room feel even more enchanting.
